User Activity Report

The User Activity Report gives a per-person view of how people are using DocLock. It shows who's uploading, editing, viewing, downloading, and sharing documents, who your top contributors are, and how much storage each person uses.

How to open this report

From the left navigation menu, open Reports & Analytics → User Activity.

  • Direct route: /reports/user-activity
  • Access required: permission to view reports (REPORTS.VIEW). If you don't see the Reports section in the menu, contact your administrator.

What you see on this report

Filters and export (top bar)

The header includes:

  • Time periodLast 7 days, Last 30 days, or Last 90 days.
  • Department — filter to Human Resources, Finance, Legal, or IT, or leave on All Departments.
  • Export — download the report (look for the download icon).

The four summary cards (KPIs)

Total UsersHow many users are included in the report.
ActiveUsers who were active in the last week.
UploadsTotal uploads across all users.
SharesTotal shares across all users.

Top Contributors

A ranked list of the five people with the most contributions (uploads plus edits). The top three get gold, silver, and bronze badges, and each entry shows the person's name, department, and total contribution count.

Department breakdown

A list of bars, one per department, showing combined activity split into Uploads and Edits, along with the number of users in that department. A legend labels the two colors.

User activity details

A table with one row per user, showing:

  • User — name and role.
  • Department — their team.
  • Uploads, Edits, Views, Downloads, Shares — activity counts.
  • Storage — how much storage that user is using.
  • Last Active — the date they were last active.

Filtering and searching

  • Use the Search users box above the table to filter by name or department.
  • Use the Department dropdown in the header to focus on one team.
  • Change the time period to widen or narrow the activity window.

Exporting

Click the Export button in the top-right to download the report.


Tips

  • The Top Contributors list quickly highlights your most active team members.
  • Compare the Active card against Total Users to gauge overall engagement.
  • The Storage column helps you spot users with unusually large footprints.

Troubleshooting

ProblemWhat to do
The Reports menu isn't visibleYou may not have the REPORTS.VIEW permission. Ask your administrator.
A user shows as not activeTheir Last Active date is more than 7 days ago, so they aren't counted in the Active card.
I can't find a specific personUse the Search users box, or clear the Department filter to show everyone.
Contribution counts look lowSwitch the time period to a longer window (such as Last 90 days).
